Delegates and out of office

Assign a delegate to act on your behalf when you are unavailable. Delegates can approve expense reports, review trips, and handle other tasks so nothing gets stuck waiting for you.

How delegates work

A delegate is another user in your organization who can take actions on your behalf. When a delegate approves or rejects a report, the action is logged with full attribution: the audit trail shows "Approved by [delegate] on behalf of [you]."

Delegates do not gain access to your account. They only receive the ability to act on items that require your approval.

Note: Only delegate to someone with appropriate authority in your organization. A delegate has the same approval power as you for the items routed to them.

Add a delegate

  1. Click your avatar in the bottom-left corner and go to Profile Settings.
  2. Select the Delegates tab.
  3. Click Add Delegate.
  4. Search for and select the user you want to assign.
  5. Click Save.

The delegate can now approve and review items on your behalf immediately.

Remove a delegate

  1. Go to Profile Settings > Delegates.
  2. Find the delegate you want to remove.
  3. Click Remove next to their name.
  4. Confirm the removal.

The delegate immediately loses the ability to act on your behalf.

Set up out of office

Use the out-of-office feature to automatically route approvals to a delegate during a planned absence.

  1. Go to Profile Settings > Out of Office.
  2. Click Set Out of Office.
  3. Select a Start Date and End Date for your absence.
  4. Choose a Delegate from the dropdown.
  5. Click Save.

During your out-of-office period, all pending approvals are automatically routed to your selected delegate. When the period ends, routing returns to normal.

Audit trail

Every action taken by a delegate is recorded in the activity log. You can see:

  • Who performed the action (the delegate).
  • On whose behalf the action was taken (you).
  • The date and time of the action.
  • What was approved, rejected, or modified.

This ensures full accountability and compliance, even when someone else handles approvals for you.

Cancel out of office early

If you return before your scheduled end date:

  1. Go to Profile Settings > Out of Office.
  2. Click Cancel Out of Office.

Approvals immediately stop routing to your delegate and return to you.
